This policy explains what we collect and how we use it when you use Wotel.
What we collect
Account details (name, email, business info), call data processed by the AI receptionist (phone numbers, transcripts, summaries, recordings), and usage data needed to run and bill the service.
How we use it
To answer and handle calls, book jobs, send confirmations and follow-ups, show your dashboard, and improve reliability. We don't sell your data.
Processors
We rely on trusted infrastructure and AI providers (e.g. telephony and speech/LLM services) to deliver the product. They process data on our behalf under their own security commitments.
Text messaging & mobile numbers
Mobile phone numbers collected for text messaging, and SMS opt-in consent, are never sold, rented, or shared with third parties or affiliates for marketing or promotional purposes. They are used solely to deliver the operational messages described at wotel.app/sms-opt-in. Message frequency varies; message and data rates may apply. Reply STOP at any time to unsubscribe or HELP for help — opt-outs are honored immediately. Consent is not a condition of purchasing any service. See also our SMS messaging terms.
Google user data
If you choose to connect your Google Calendar (Settings → Integrations), Wotel accesses and handles Google user data as follows:
Data we access. Wotel requests the calendar.events scope to create, update, and delete calendar events for the service jobs you schedule in Wotel, and the openid / email scopes solely to display which Google account is connected. We do not read, list, or scan your existing calendar events; we only modify events that Wotel itself created. We do not access any other Google data, and we do not create aggregated or anonymized datasets from Google user data.
How we use it. Google user data is used exclusively to provide the user-facing calendar-sync feature you enabled: pushing the jobs booked in Wotel to your Google Calendar and keeping them in sync when a job is updated or cancelled. It is never used for advertising, market research, credit or lending decisions, or any purpose unrelated to the feature.
Data transfer.We do not sell, rent, or share Google user data with any third party. It is not transferred to data brokers, advertisers, or analytics providers. The only processing outside Wotel is the call to Google's own Calendar API to create or update your events. Google Calendar data is never sent to our AI, telephony, or email providers.
Data protection. OAuth tokens are stored encrypted at rest in our Cloudflare database, are scoped to your organization, are never exposed to the browser, and are transmitted only over TLS. Access is limited to the server-side code that performs the calendar sync; no humans read Google user data except with your explicit consent, for security investigations, or to comply with the law.
Retention and deletion.We store only your OAuth tokens, the connected account email, and the IDs of events Wotel created. All of it is deleted immediately when you click Disconnect in Settings → Integrations or delete your account. You can also revoke Wotel's access at any time from your Google Account permissions, which invalidates our tokens instantly.
Limited Use.Wotel's use and transfer to any other app of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. The use of raw or derived user data received from Workspace APIs adheres to the Google User Data Policy, including the Limited Use requirements. Google user data is not used to develop, improve, or train generalized AI or machine-learning models, and is not transferred to third-party AI/ML services for any purpose, including model training.
Your choices
You can access or delete your data, and close your account at any time. Call recording and AI handling are configurable in your settings.
